Panelist Manual

Speaker Badges 

  • If a panelist does not already have a badge for the event, they can contact [email protected] to inquire about receiving a complimentary speaker badge. There should only be one badge per person. 
  • We are not able to provide badges for plus ones. Speaker badges are not transferrable. 
  • If you have edits or additions to your Speaker Badge request, please email [email protected]
  • If you submitted a request for a Speaker Badge and have not received it via email, please contact [email protected]
  • Your speaker badge: 
    • Does not provide early Show Floor Access 
    • Does not guarantee access to panels 
    • Is good for all 3 days of the show 

Speaker Badge Info & Pick Up:  

  • Please bring a government issued Photo ID to Registration to pick up your badge (ex: Passport, My Number Card, Driver's License, etc) 

  • You can pick up your badge at Will Call and Registration in Hall 9. Registration hours at Star Wars Celebration Japan are as follows: 

    • Tuesday: 10:00 AM - 7:00 PM 
    • Wednesday: 8:00 AM - 7:00 PM 
    • Thursday: 8:00 AM - 8:00 PM 
    • Friday: 7:00 AM - 6:00 PM 
    • Saturday: 7:00 AM - 6:00 PM 
    • Sunday: 7:30 AM - 4:00 PM

Giveaways & Printed Materials 

  • Star Wars Celebration Team must approve any giveaways, printed materials, banners, and signage created by fan panels before being created and printed. Once these items are approved, panelists are responsible for facilitating the creation, procurement, and printing of these materials. 
  • Fan panels with unapproved giveaways or materials will not be allowed to be distributed.
  • If you have questions or need approval for any giveaways or printed materials, please contact [email protected].  

Arrival, Setup, Timing 

  • It is crucial for panels to start and end on time. If your panel starts late, it must still end on time. 
  • Each panel is 60 min long. 
  • There are no pre-show tech checks, please ensure you have the correct files before arriving.  
  • There are 30 min breaks in between each panel. You can use the 30 minutes prior to your panel start to test the equipment.  
  • As soon as the panel before yours concludes, you may begin setting up for your Panel. 
  • Arrive to your Stage at least 15 minutes in advance of your start time to ensure a smooth setup and tech check. 
  • Each stage is staffed with 1 or 2 AV technicians at all times to assist presenters with their content. 

A/V & Tech 

  • No stage will have internet access.  
  • All stages include Full HD Projectors (1920x1080p HD) with HDMI cables to head table/podium and at tech table. 
  • All stages include (2) Wireless Handheld and Lav Combo Mic kits, as well as (6) Gooseneck Table Mics for panel use. 
  • Holonet News Stage will also include (1) mixer with (2) ¼” AUX outputs 
  • All stages have a laptop for you to use for your presentation. 
  • Please bring a downloaded copy of your presentation on a USB drive.   
  • You may bring your own laptop, if preferred.  If you do bring your own laptop, please note: 
  • There is no internet access for files saved online.  Please ensure files are saved locally. 
  • We encourage you to bring a device with a standard HDMI port. If your device uses a USB-C or other type port and requires an HDMI dongle/adapter, you will need to bring the correct HDMI dongle or adapter.   
  • If the presentation has audio, the laptop/playback device should have a mini 1/8th analog audio port, or the appropriate dongle/adapter.
